HR Data & Reporting Analyst
The HR Data & Reporting Analyst is responsible for collecting, analyzing, and reporting HR data to support strategic decisions. Key duties include maintaining HR databases, ensuring data accuracy, and creating reports and dashboards to track workforce trends, performance metrics, and compliance. This role plays a key part in using data to enhance HR processes and improve business outcomes.
KEY RESPONSIBILITIES:
- Perform regular HR data audits to ensure accuracy.
- Collaborate with the HRIS team to promptly resolve discrepancies.
- Gather feedback from HR teams on data quality and usability.
- Ensure alignment with organizational data governance policies.
- Collaborate with HR and leadership to ensure report relevance and clarity.
- Deliver accurate reports on time, with minimal errors.
- Use HR analytics to identify workforce trends and improve operational efficiency.
- Develop and maintain dashboards and monthly analytics data through defined channels.
- Maintain SQL tables for integration with MS Power Automate.
- Partner with HR leadership to scope valuable, decision-enabling reports.
- Regularly report on key HR metrics (e.g., turnover, utilization, cost, demographics, absenteeism, benefits).
- Research and apply best practices in HR reporting using internal and external resources.
- Compile and submit HR metrics and dashboards for recurring and ad hoc reporting needs.
- Ensure timely submission of HR reports across various cycles (monthly to annual) for Ackermans and Pepkor.
- Develop and implement a job management process in PaySpace to track actual headcount, vacancies, and budgeted positions.
- Oversee the annual headcount budgeting process, including data extraction for Cost Centre owners.
- Update budgeting tools annually in line with remuneration guidelines.
- Extract and compile data for annual and monthly RemChannel submissions and reports to support the Remuneration Manager/Specialist.
- Maintain accurate position and job data in PaySpace to ensure data integrity.
- Collaborate with the ER Specialist to provide timely data for the Employment Equity Plan.
- Extract and compile management control data for Group BEE reporting.
- Collaborate with HRIS/HR teams on efficiency and HR-related projects.
- Lead or support project delivery using basic project management principles to ensure timely, accurate, and cost-effective outcomes.
- Collaborate with the HRIS team to enhance HR systems and reporting capabilities.
- Identify and drive process improvements in HR data management and reporting.
- Ensure compliance with data privacy and security policies and legal requirements.
- Support HR Generalists/Managers with data-driven decision-making.
- Train and guide HR teams on analytics and reporting best practices.
- Work with IT and HRIS teams to improve data reporting capabilities.

Technical Skills:
- Proficiency in advanced Microsoft Excel and SQL for data analysis.
- Familiarity with HRIS platforms and reporting tools.
- Knowledge of statistical analysis techniques and workforce analytics.
- Demonstrated experience in building HR relevant dashboards or analytics for HR.
Analytical & Problem-Solving Skills:
- Strong ability to interpret HR data and provide actionable insights.
- Attention to detail and high level of accuracy in reporting.
Communication & Collaboration:
- Ability to present data insights in a clear and concise manner.
- Strong written and verbal communication skills.
- Ability to collaborate effectively with HR teams, IT, and leadership.
Compliance & Data Privacy:
- Understanding of HR regulations, compliance requirements, and data privacy laws (e.g. POPI).
EXPERIENCE required :
Essential:
- 3 years experience in processing large datasets and conducting statistical analysis, data visualizations relevant to the HR business function as well as report writing experience.
- Experience working with and extracting data from HR platforms such as PaySpace or sililar systems.
- Proven experience with data visualisation and reporting tools such as Power BI, Qlik and advanced Excel functions.
- Experience in automating reporting processes and creating dashboards.
Preferred:
- Experience in supporting HR functions such as Compensation and compliance reporting.
QUALIFICATION REQUIRED:
Essential:
- Bachelor’s degree in Human Resources, Business Administration, Data Analytics, Statistics, Information Systems or related field.
